If you create a FreightBid account, we collect: email address, first and last name, company name, job title, phone number (optional), password (encrypted), and account preferences.
When a Broker or Carrier uses a quote-submission link without creating an account, we collect: quote content, email address or contact info (if provided), IP address, timestamp, browser type, operating system, device ID, and quote-submission link access history.
Pages visited, features used, time spent, search queries, RFQ and quote actions, browser type, operating system, IP address, device identifiers, and referrer URL.
When you use FreightBid, we collect and process data generated through your use of the platform, including but not limited to:
We use platform data to provide and improve the FreightBid service, generate analytics and insights available to you through your shipper dashboard (e.g., lane pricing trends, broker performance comparisons), maintain platform reliability and security, and develop new features and improve existing functionality.
We do not sell, rent, or trade your data to third parties. Aggregated, anonymized data may be used to improve platform-wide features, but your individual shipment details, broker relationships, and pricing data are never shared with other users or external parties without your explicit consent.
Credit card and billing address information is collected and processed by Stripe, our payment processor. FreightBid does not store full credit card details; Stripe tokenizes and encrypts payment data.
Emails you send to support@freightbid.io, support tickets, and messages within the Platform (Q&A threads on RFQs, amendment discussions).
We may infer your company type and shipment types based on your account signup and usage patterns.
Analyzing Platform usage to improve features and generating anonymized, aggregated analytics and benchmarking reports for existing customers.
Complying with laws (tax, employment, regulatory, law enforcement requests), preventing fraud and abuse, enforcing Terms of Service, and responding to legal claims.
Sending you product updates, announcements, and educational content (with opt-out available in account settings), and responding to your inquiries and support requests.
FreightBid uses aggregated, anonymized data to provide benchmarking and platform intelligence to our customers. We do not sell, license, or commercially share this data with any third party for their independent use. Anonymized data may be processed and stored by our infrastructure subprocessors (see Section 5) solely to support Platform operations; these subprocessors are bound by contractual obligations that prohibit independent use.
Examples of anonymized data include: average quote response times by lane, price ranges and distributions for lane/equipment combinations, quote acceptance rates (aggregate percentages), and RFQ volume trends and seasonal patterns.

5.1 No Third-Party Marketing. We do not share your personal information with third parties for their marketing purposes.
5.2 Legal Compulsion. We may disclose personal information if required by law (court order, subpoena, government agency demand) or if necessary to enforce our Terms, protect our rights, or prevent harm.
5.3 Business Transfer. In the event of a merger, acquisition, bankruptcy, or sale of substantially all assets, your personal information may be transferred as part of that transaction. We will provide you with notice and the opportunity to opt out if the new owner's privacy practices materially differ from ours.
6.1 Encryption in Transit. All communication between your device and the FreightBid Platform is encrypted using TLS 1.2 or higher (HTTPS).
6.2 Encryption at Rest. Sensitive personal information (passwords, payment tokens) is encrypted using AES-256-GCM encryption at rest in our database.
6.3 Access Controls. FreightBid employees access personal information only on a need-to-know basis, with multi-factor authentication (MFA) required for all administrative access.
6.4 No Plaintext Credential Storage. We do not store passwords, API keys, or authentication tokens in plaintext.
6.5 Security Measures. We implement industry-standard measures including: regular security audits, intrusion detection and prevention, IP whitelisting for administrative access, and rate limiting to prevent brute-force attacks.
6.6 Limitations. No system is completely secure. While we use reasonable security measures, we cannot guarantee absolute security against all threats. You are responsible for maintaining the confidentiality of your account credentials.

In the event of a data breach that affects personal information, FreightBid will notify affected individuals and applicable regulatory authorities in the most expedient time possible and without unreasonable delay, consistent with applicable law and legitimate needs of law enforcement.
Notifications will include: a description of the breach, types of personal information affected, recommended protective steps, and FreightBid's contact information. We will also notify the California Attorney General (and other state AGs if required) in accordance with CCPA, CPRA, and equivalent state laws.
9.1 Collection at Quote Submission. When a Broker or Carrier uses a quote-submission link without creating an account, we collect: quote content, broker/carrier contact information, and quote-submission metadata (IP address, timestamp, browser type, OS, device ID, link-access history).
9.2 Use of Data. We use this data to facilitate quote collection, display to the inviting Shipper, and support RFQ-related communication. We may use anonymized quote data for benchmarking and lane analytics (see Section 4).
9.3 No-Login User Rights. Even without a FreightBid account, you retain consumer privacy rights under applicable state law. To exercise these rights, email support@freightbid.io with "CCPA Request" (or your applicable state) in the subject line. We will verify your identity and respond within 45 calendar days.
9.4 Logging and Fraud Prevention. FreightBid logs quote-submission activity (IP, timestamp, browser info, link-access history) to detect and prevent unauthorized submissions. This data is retained per the retention schedule in Section 7.
9.5 Unauthorized Submission Claims. If you believe a quote-submission link was used without your authorization, contact support@freightbid.io immediately. We will investigate and, if unauthorized use is confirmed, mark the quote as disclaimed in our system.
10.1 Plausible Analytics. FreightBid uses Plausible Analytics for website and Platform analytics. Plausible does not use cookies, tracking pixels, or web beacons, and does not engage in cross-site tracking or sell data to third parties.
10.2 No Third-Party Advertising Trackers. FreightBid does not use Google Analytics, Facebook Pixel, or other third-party advertising and tracking services.
10.3 Session Cookies (Functional Only). The Platform uses session cookies to maintain your login session. These cookies expire when you close your browser or log out.
All automated emails from FreightBid comply with CAN-SPAM requirements:
Unsubscribe for No-Account Users: If you received a quote notification but do not have a FreightBid account, you can unsubscribe by replying to the email with "Unsubscribe" or using the unsubscribe link. We will add your email to our suppression list within 10 business days.
The Platform is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will delete it immediately and notify the child's parent or legal guardian.
FreightBid may modify this Privacy Policy at any time. Material changes will be communicated via email to your account address at least 30 days before the changes take effect. Your continued use of the Platform after the notice period constitutes acceptance of the modified policy.
Residents of the states listed below have specific rights under state privacy laws. We will verify your identity and respond within the legally required timeframe (typically 30–45 days).

Virginia residents have rights to access, delete, correct, opt-out of targeted advertising (FreightBid does not engage in targeted advertising), and data portability. They also have the right to appeal denied requests by contacting the Virginia Attorney General.
Colorado residents have rights to access, delete, correct, opt-out of targeted advertising and sale (FreightBid does not engage in these practices), and data portability.
Connecticut residents have rights to access, delete, correct, opt-out of targeted advertising, sales, and profiling (FreightBid does not engage in these practices), and data portability.
Texas residents have rights to access, delete, correct, opt-out of sales, targeted advertising, and profiling (FreightBid does not engage in these practices), and data portability.
Oregon residents have rights to access, delete, correct, opt-out of targeted advertising and sale (FreightBid does not engage in these practices), data portability, and to obtain a list of all third parties to whom we have disclosed personal information in the past 12 months. FreightBid does not sell or disclose personal information to third parties for independent purposes, so this list will be limited to service providers listed in Section 5.
